| Description: | The President's Office Executive Assistant ensures the effective and timely administration of the President's Office; supporting the strategic emphases of the President's Office. We anticipate beginning interviews for this position around the end of February 2013. |
| Duties: | - Under the direction of the President's Office Manager and Board Liaison, schedule appointments and events for the President/CEO's calendar and coordinate with internal departments to ensure strategic and optimum advantage of existing business opportunities and to create further business opportunities.
- Manage the logistics of President's Office speaking events and travel in coordination with the President's Office Relationship Manager (with particular emphasis on President/CEO meetings/events). This includes creating and maintaining a President's Office external stakeholder meeting calendar; planning and monitoring spending and providing reports to President's office budget holders as requested; convening planning groups; communicating with external contacts, negotiating meeting spaces, making arrangements for equipment and/or shipping, managing travel/transportation logistics, working with caterers, and facilitating other meeting/event related contracts. Propose new ideas, best practices and innovations, to improve Lutheran World Relief's event planning and production.
- Document next steps and follow-up items subsequent to meetings/events; identify priorities, responsibilities and timeframe for those activities (in consultation with Supervisor), distribute assignments as appropriate, and track follow-through. Notify when follow-through is not on schedule and ensure such challenges are addressed.
- Identify print and electronic materials needed for President's Office events and meetings. Prepare and assemble materials, and identify and seek to address gaps. Coordinate with the Communication's Unit as needed.
- Manage the logistics of the President's Council Network, in close consultation with the President's office Relationship Manager. Includes the processing of expenses.
- Represent Lutheran World Relief (LWR) and the President's Office with hospitality and professionalism. Take notes, record observations and gather contact information of meeting/event participants. For meetings at LWR, provide hospitality for LWR guests. Attend some Baltimore-Washington-based external President's Office meetings and events as assigned.
- Prepare and submit Expense Reports for President and Executive Vice President, including working with Finance to secure expense reimbursements.
- Maintain President's contacts' file information and notes related to President's Office external meetings/events in Outlook and Raiser's Edge.
- Compile and submit weekly Monday Updates on behalf of the President's Office.
- Assist Executive Vice President by answering incoming phone calls, checking mail, filing, scheduling meetings, note-taking, and other tasks as needed.
- Contribute to the development and implementation of the President's Office internal communications plan.
- Serve as point person for booking meeting space in the Lutheran Center by other agencies.
- Other duties as assigned by supervisor.

| Qualifications: | Deep commitment to LWR's core values and ability to model those values in relationships with colleagues and partners. B.A. or equivalent experience Minimum of three years' experience providing administrative support to high level executives, and either communications or public relations experience. Excellent verbal and written communication skills. Strong organizational and problem-solving skills. Discretion and good judgment in handling sensitive information. Ability to work in a fast-paced environment and successfully handle multiple projects and priorities. Proficiency with Microsoft Office, including Outlook and Word suite are required. Experience with Raisers Edge, online network portals, and internet research is desired. Must demonstrate a willingness to explore and learn new software to increase the efficiency and effectiveness of the work. Ability to work independently and function well within a team context. Ability to maintain courteousness, responsiveness, humor, and service-oriented attitude in the face of demanding short-fuse situations. Experience with and commitment to working in a very diverse workforce. Demonstrated strong project management skills and ability to coordinate multiple projects simultaneously. - Familiarity and appreciation of Lutheran theology, church structures, and church member motivations and sensitivities preferred.
